Watch basic introduction video below to understand how Mail Merge works:

What is Mail Merge & How It Works?

Mail Merge combines two separate files together:

  1. Main Document (Microsoft Word): Your letter template, certificate design, or envelope layout containing standard text and logo.
  2. Data Source (Microsoft Excel): Your list of recipients with columns like Name, Gender, Position, Company, Address.

When you merge them, Microsoft Word automatically creates a personalized letter for every single person in your Excel sheet!

Step-by-Step Guide: How to Do Mail Merge with Excel Data

Step 1: Prepare Your Excel Data File

  1. Open Microsoft Excel and create your recipient list.
  2. Make sure line 1 contains clear column headers: FullName, Gender, Position, Company, Address.
  3. Fill in your data rows under each header.
  4. Save your Excel file (e.g. Student_List.xlsx) and CLOSE Microsoft Excel completely!

Step 2: Connect Word Document to Excel Sheet

  1. Open your master letter or certificate in Microsoft Word.
  2. Go to Mailings tab on top ribbon bar.
  3. Click Start Mail Merge => select Letters (or Envelopes / Labels).
  4. Click Select Recipients => choose Use an Existing List....
  5. Browse and select your saved Excel file (Student_List.xlsx) => click Open.
  6. Select your sheet name (e.g. Sheet1$) and make sure First row of data contains column headers is checked => click OK.

Step 3: Insert Merge Fields into Word Text

  1. Click your text cursor where you want recipient name to appear.
  2. Go to Mailings tab => click Insert Merge Field dropdown menu.
  3. Select FullName. Word inserts field code like Β«FullNameΒ».
  4. Place cursor at position line and insert Β«PositionΒ», Β«CompanyΒ», etc.

Step 4: Preview Results & Finish Merge

  1. Click Preview Results button in Mailings tab to see real names appear inside your letter!
  2. Click next arrow buttons β–Ά to check recipient 1, 2, 3...
  3. When everything looks correct, click Finish & Merge at right end of Mailings bar:
  • Choose Edit Individual Documents... => select All => click OK. Word generates one new big document containing all 100 personalized letters!
  • Or choose Print Documents... to send directly to printer!

πŸ’‘ Pro Tip
πŸ’‘ Crucial Tip: Always Save & Close Excel File First! Before clicking "Select Recipients" in Word, always save and close your Excel spreadsheet file. If Excel is still open and locked by another window, Word will display a file access error or fail to connect to your data table!
ℹ️ Information
ℹ️ Filter or Skip Certain Recipients: Don't want to print letters for everyone in Excel? Click Edit Recipient List in Mailings tab to uncheck specific people, or use Filter option to select only specific departments or cities without modifying your original Excel file!

πŸ’‘ Useful Tips for Perfect Mail Merge:

  • Tip 1: Double Check Formatting Before Merging

Check font size, line spacing, margins, and Khmer Unicode font rendering in your master Word document before running Finish & Merge. It saves you from editing 100 pages manually later!

  • Tip 2: Mail Merge Works for Certificates & Envelopes

You can use Mail Merge to generate student completion certificates, event name badges, staff ID cards, and mailing envelopes!

  • Tip 3: Save Merged File as PDF

After clicking Finish & Merge => Edit Individual Documents, you can save the newly generated document as a single .pdf file to email or print easily.

  • Tip 4: Fix Currency & Date Format Issue

If numbers or dates from Excel lose formatting in Word, press Alt + F9 in Word to view field codes and add picture formatting switches like \# "$#,##0.00".
