Step 1: How to Insert a Chart in Microsoft Word

Inserting a chart in Microsoft Word is super easy because Word integrates directly with Excel table:

  1. Click your cursor at the position in your document where you want chart to appear.
  2. Go to Insert tab on top ribbon menu.
  3. Click on Chart icon inside Illustrations group.
  4. Select your preferred chart type from left list:
  • Column / Bar Chart: Great for comparing sales, student scores, or quantities over time.
  • Pie / Doughnut Chart: Best for showing percentage shares out of 100% total.
  • Line Chart: Best for displaying growth trends over months or years.
  1. Click OK. Microsoft Word automatically inserts chart and opens a small Excel Data Spreadsheet window!
  2. Type your actual category names (e.g. Jan, Feb, Mar) and numbers inside Excel table. Chart in Word will update immediately in real-time!
  3. When finish typing data, close Excel window by clicking X button.

Step 2: How to Edit Chart Data & Change Colors

Need to update numbers or change color style later? Follow these steps:

1. Edit Chart Numbers:

  • Right-click on chart > click Edit Data (or go to Chart Design tab > click Edit Data).
  • Excel data window opens again. Update numbers or add new rows/columns!

2. Change Chart Colors & Style:

  • Click on chart to select it.
  • Go to Chart Design tab at top bar.
  • Click Change Colors to choose modern color theme matching your template.
  • Select preset design styles from Chart Styles gallery for instant shadow & gradient background!
💡 Pro Tip
💡 Quick Shortcut Tip: Click small Brush (🎨) icon on top right side of your selected chart to quickly change Chart Style and Color Scheme without going to top menu ribbon!

Step 3: Add Chart Elements (Titles, Labels & Legend)

To make chart easy to read for everyone, you can add or remove elements using + (Chart Elements) button:

  1. Click on chart.
  2. Click green Plus (+) button on top right of chart border.
  3. Check or uncheck element options:
  • Chart Title: Add descriptive heading title above chart.
  • Axis Titles: Add label text for X-axis (bottom) and Y-axis (left side).
  • Data Labels: Display exact numbers directly on top of bars or pie slices so people don't need to guess!
  • Legend: Show color box labels indicating what each color series represents.
â„šī¸ Information
â„šī¸ Link Excel Chart to Word / PowerPoint (Auto Sync): If you already created a chart in Microsoft Excel, press Ctrl + C to copy. Open Word or PowerPoint, right-click > choose Keep Source Formatting & Link Data (P) under Paste Options. Now whenever you update numbers inside original Excel sheet, chart inside Word & PowerPoint updates automatically!

💡 Useful Tips for Creating Charts:

  • Tip 1: Wrap Text to Move Chart Easily

By default, chart in Word behaves like inline text. Click chart => click Layout Options icon on top right => choose Square or In Front of Text so you can drag chart anywhere freely!

  • Tip 2: Switch Row / Column Data

Want to flip X-axis categories with Legend series? Go to Chart Design tab => click Switch Row/Column button!

  • Tip 3: Change Chart Type Anytime

Don't like Column chart? Right-click chart => Change Chart Type => switch to Pie, Bar, or Line chart without re-typing data!

  • Tip 4: Keep Charts Clean

Avoid using too many colors or 3D effects. Simple, clean 2D Column or Bar charts with clear Data Labels are much easier to read in academic papers and official reports.
